1.  GENERAL INFORMATION

At Norstedts Förlagsgrupp we value your privacy and always strive for a high level of data protection. This privacy policy explains how we collect and use your personal data for the purposes described herein. It describes your rights and how to exercise them.

2.  WHAT IS PERSONAL DATA AND WHAT IS THE PROCESSING OF PERSONAL DATA?

Personal data is all kinds of information that can be directly or indirectly attributed to a natural person who is alive. For example, images and sound recordings processed on computers can be personal data even if no names are mentioned. Encrypted data and different types of electronic identifiers (e.g., IP address) are personal data if they can be linked to natural persons.

The only thing that is done to your personal data is that it is processed. Any action taken on personal data is processing, regardless of whether it is by an automated process or not. Examples of common processing are collection, registration, organisation, structuring, storage, adaptation, transmittance and erasure.

Norstedts Förlagsgrupp AB, org. no. 556045-7748, is the data controller for processing of your personal data done by Norstedts Förlagsgrupp. Details on how to contact us can be found under section 5 below.

4. WHEN DO WE COLLECT PERSONAL DATA?

  • Norstedts Förlagsgrupp collects personal data about you as a private individual in different contexts and on different occasions, e.g., it shows if:
  • you are a member of one of Norstedts Förlagsgrupps book clubs,
  • you subscribe to our newsletter,
  • you contact our customer service,
  • you apply for review copies of new releases,
  • you spontaneously submit/leave a manuscript for one of our publishers,
  • we invite you to be part of our network of contacts for spreading our works,
  • you are invited to various events we arrange,
  • it is otherwise necessary to manage the relationship between you and Norstedts Förlagsgrupp.
  • Norstedts Förlagsgrupp also collects data through our own or third-party cookies and similar follow-up techniques that may log your activities and choices when you visit any of our websites. 5. WHAT PERSONAL DATA DO WE COLLECT AND FOR WHAT PURPOSE (WHY)?

  • For those who are or have been members of one of Norstedts Förlagsgrupps book clubs

5.1.1        Purpose

To manage membership in the book clubs.

5.1.2        Processing performed

  • Mailing of book club magazines, as well as attachments
  • Delivery of goods (including notifications)
  • Identification and age verification
  • Handling payments
  • Handling returns, complaints and warranty matters
  • Mailing of invitations to events/author events or the equivalent within Norstedts Förlagsgrupp
  • Statistical processing in support of developing the service, as well as creating more relevant offers

5.1.3        Categories of personal data

  • name,
  • national ID No.,
  • contact details (address, email and telephone no.),
  • credit information from credit bureaus,
  • purchasing information, children’s date of birth (to be placed in the right member category in the Children’s Book Club)

5.1.4        Legal Basis

Fulfilment of our commitments in connection with the membership agreement (Membership Terms). If the data is not provided, our contractual commitments cannot be fulfilled and we must deny you membership.

5.1.5        Retention Period

Membership and private data for the duration of the membership and for a period of 12 months after termination. During this time, Norstedts Förlagsgrupp can contact you with a new membership offer. Purchasing-related data is stored 12 months after ordering and delivery.

  • For those who subscribe to one of our newsletters

5.2.1        Purpose

To market news, offers and recommendations

5.2.2        Processing performed

  • Distribution of newsletters with current information and offers via email

5.2.3        Categories of personal data

  • Email

5.2.4        Legal Basis

In accordance with the agreement pertaining to the terms and conditions of our newsletter.

5.2.5        Retention Period

Until the newsletter is discontinued. In each newsletter, the subscriber is informed of the possibility to unsubscribe from future newsletters.

  • For those who contact our customer service

5.3.1        Purpose

To manage customer service cases

5.3.2        Processing performed

  • Communication and answering any questions for our customer service.
  • Manage complaints
  • Support

5.3.3        Categories of personal data

  • Name,
  • National ID No.,
  • contact details (address, email and telephone no.),
  • your correspondence including information about your customer service case.

5.3.4        Legal Basis

Balance of interests. The processing is necessary to cater for your and our lawful interests in handling customer service cases.

5.3.5        Retention Period

Until the customer service case has been closed.

  • For those who apply for review copies of new releases

5.4.1        Purpose

To manage orders for review copies

5.4.2        Processing performed

  • Mailing, processing and delivery of review copies of books.

5.4.3        Categories of personal data

  • name,
  • contact details (email, address details),
  • rationale,
  • company/title

5.4.4        Legal Basis

Fulfilment of our commitments under the agreements that were entered into upon registration for ordering review copies. If the data is not provided, our commitments cannot be fulfilled and we must deny you the opportunity to order.

5.4.5        Retention Period

Your personal data from the application for review copies is saved for 6 months from the date that you last order a review copy.

  • For those who spontaneously submit/leave a manuscript for one of our publishers

5.5.1        Purpose

To manage spontaneous manuscripts with cover letters

5.5.2        Processing performed

  • Registration of personal data for identification
  • Communication with the author

5.5.3        Categories of personal data

  • Name, email, telephone no.
  • Address details
  • Cover letter and manuscript

5.5.4        Legal Basis

Balance of interests. Compliance with our commitments under the terms and conditions for spontaneous manuscript submissions. If the data is not provided, our commitments cannot be fulfilled and we cannot accept your manuscript for review.

5.5.5        Retention Period

We save submitted manuscripts and any accompanying information for a period of up to 5 years after submission. After that, all the manuscripts are filed at the Centre for Business History in business history interest and future research purposes.

5.5.6        Contact for your privacy issues

If you want to change your personal data or withdraw your manuscript afterwards, please contact the publisher you submitted your script to:

  • For those who have registered as stakeholders for invitations, etc., to various Norstedts Förlagsgrupp events

5.6.1        Purpose

To conduct events in order to disseminate information about our work

5.6.2        Processing performed

  • Contact relevant people for invitations
  • Manage invite lists
  • Sending the invitations with follow-ups and managing the notifications
  • Conducting the events (reception of guests)
  • Follow-up of events

5.6.3        Categories of personal data

  • Name
  • Email address
  • Mailing address

5.6.4        Legal Basis

Agreements, such as assignment agreements or authorship agreements, or balance of interest, with terms and conditions, for those who registered as stakeholders for event invitations. If the data is not provided, our commitments cannot be fulfilled and we must deny your registration.

5.6.5        Retention Period

Until you, as an invitee, unsubscribe. In each invitation you are informed about the possibility of unsubscribing from future invitations.

  • When it is otherwise necessary to manage the relationship between you and Norstedts Förlagsgrupp

5.7.1        Purpose

To fulfil Norstedts Förlagsgrupp’s legal obligations

5.7.2        Processing performed

  • necessary management in order to fulfil the company’s legal obligations by law, judgment or authoritative decision, such as the Accounting Act or the product liability regulations, e.g., upon withdrawal of a product.

5.7.3        Categories of personal data

  • Name, national identification number, contact details (address, email and telephone no.), payment history, payment information, your correspondence

5.7.4        Legal Basis

Legal obligation. This means as much management as is necessary to fulfil our legal obligations pursuant to legal, judicial or authoritative decisions.

5.7.5        Retention Period

Your personal data may be saved after the above-mentioned retention periods under the respective service or until the case is completed if further storage requirements are required, e.g., in the Accounting Act.

6.  DATA SECURITY AND PRIVACY

The security, privacy and confidentiality of your personal data is very important to us. We have taken technical, administrative and physical security measures which are designed to protect your personal data from unauthorised disclosure, use and modification. From time to time, we evaluate these measures to assess whether we need to take additional measures or update existing ones. Please note that, despite taking all reasonable measures, there are no security measures that are completely safe. We therefore ask you to immediately inform us of any suspicious activities that you may discover for any of the aforementioned purposes.

7.  WHO CAN WE SHARE YOUR PERSONAL DATA WITH?

  • Norstedts Förlagsgrupp may disclose your personal data to group companies, partners and other third parties for the purpose of fulfilling the agreement with you or for the performance of agreements with Norstedts Förlagsgrupp’s suppliers and partner, i.e. data processors in areas such as IT, payments, marketing and distribution.
  • If personal data is disclosed to companies that process personal data for Norstedts Förlagsgrupp, we conclude a processing agreement with this party. We only use data processors that provide sufficient guarantees to implement appropriate technical and organisational measures.
  • When your personal data is shared with data processors, it will only be done for purposes that are consistent with the purposes for which we have collected and processed said data (e.g., to fulfil our commitments).
  • Personal data may also be disclosed to independent data controllers if it is necessary to comply with applicable laws or requirements from authorities, to safeguard the lawful interests of Norstedts Förlagsgrupp or to trace, prevent or detect fraud and other security or technical issues. For this group, we do not include a data processing as they themselves control the processing of personal data under their own terms and privacy policy.

8.  WHO CAN WE COLLECT YOUR PERSONAL DATA FROM?

In addition to the data you provide to us or that we collect from you based on how you use our services, we may also collect personal data from someone else (i.e. third parties). We can collect the following data from third parties:

  • Address details from public records to make sure we have your correct address details,
  • Data on credit ratings from credit rating agencies, banks or credit bureaus.

If such data is collected in accordance with the above, it fall under the legal basis and retention period based on the services you use.

9.  WHERE DO WE PROCESS YOUR PERSONAL DATA?

We always strive for your personal data to be processed within the EU/EEA and that all of our own IT systems are located within the EU/EEA. In the event of an exception to this, the data processor, such as EU/EEA data processors, may only share the data relevant to the purpose. We also ensure that a level of protection can be established such as if the processor would be stationed within the EU/EEA.

Information provided by Norstedts Förlagsgrupp may contain links to websites operated or owned by someone other than Norstedts Förlagsgrupp. We are not responsible for the processing of personal data that occurs on these websites. We therefore encourage you to read the information relating to the processing of personal data and which is available on the respective website.

11.  YOUR RIGHTS

  • You as the data subject have the right to access personal data about yourself. You can get free information about, among other things, what personal data Norstedts Förlagsgrupp processes about you and for what purpose. You also have the right to have incorrect, misleading or incomplete data rectified, anonymised or erased. You also have the right to request that we restrict the processing of your personal data, object to the processing of personal data or object to data processing we make carry out pursuant to the legal basis of balance of interests. Please note that some of the rights apply only in specific situations, such as the right to data portability, which applies only if the processing is based on an agreement or consent and that the processing is automated.

12.  CHANGES TO THE PRIVACY POLICY

This privacy policy may be revised from time to time. If Norstedts Förlagsgrupp makes any significant changes to the privacy policy, we will inform you, the data subject, via email before the changes come into force. The privacy policy will also be published on our web sites:
